Preview and send invoice & job sheet

Users with invoicing permissions can generate an invoice once the job is completed. The steps below outline the parts of the Preview & send screen and the steps you can take to generate and/or send an invoice to customers.

Preview and send an invoice

1. Once you are ready to invoice a job, tap on the Next button and select Review & Submit invoice option.


2. The job created date, issued date, and the due date for the invoice are already pre-filled. You can change these dates by tapping on the small calendar icon to adjust the dates accordingly.


3. If the pool associated with the job has multiple contacts linked to it, you have the option to split the invoice between the contacts or change the invoice recipient. To do this, tap on the Split bill or change recipient option and select the other contact(s).


After selecting the contact, it will be added to the invoice to section. You will see a number right next to the contact. You can delete a contact by tapping on the trash icon.


4. You can also enter another email to receive a copy of the invoice in the cc emails field.


5. You can edit the message intro to override the global invoice settings.

6. Toggle the Mark as paid switch to on if you want to mark the invoice as paid.


7. Toggle the Configure switch to configure what you want to include in the invoice email. The options are:

  • Show job photos

  • Show job sheet photos

  • Show invoice

  • Show invoice notes

  • Show job sheet

  • Show tasks list

  • Show water test results

  • Show chemical history

  • Show chemical actions

8. You can preview the job or invoice PDF by tapping on their respective preview buttons.


9. Tap on either Mark as invoiced or Send. Both buttons are available on the Preview invoice screen if the contact has Email enabled under the comms preferences on the contact details page. Regardless of which options you select, an invoice will still be generated and pushed to any existing integrations that you have on your trackr iO account.
