You can manage the contacts in the mobile app with the right permissions. The contacts screen shows all your contacts sorted alphabetically. You can search for a contact by entering their name, address, email or phone number and will see a summary of their details and the number of pools that they are linked to. Contact information can be edited and updated here and you can also pull up a list of all the past and future jobs created for the contact and any quotes and invoices that have been issued.
View Contacts
Accessing the contacts screen on the mobile can be done by tapping on the Contacts tab. You can tap on the contact you want to manage/update. To add a new contact, tap the plus icon from the contact screen and add the customer's details.
Contact details screen
1. Customer details overview - Shows the contact name, email, company name, and contact address.
2. Jobs, Quotes, Invoices tabs - This is where you can access the jobs, quotes, and invoices created for that contact.
3. Contact info - Email addresses and phone numbers associated with the contacts.
4. Contact notes - This is where the contact notes can be seen.
5. Linked pools - All the pools that are linked to the contact. You can link multiple pools to a single contact and vice versa.
6. Edit button - Tap this option if you want to edit the contact.
Jobs, Quotes, Invoices tabs
A. You can view jobs associated with the contact by tapping on the jobs tab. Tap on the dates to check any scheduled jobs. You can use the arrows to move to the previous or next months.
B. Tap on the Quotes tab to look at quotes that have been created for the contact. You can use the search field to look for a quote.
C. The invoices tab shows all the invoices generated to the customer. You can search for an invoice by job type.
Add/Edit a Contact
1. Contact type - You can select between Company and Individual.
2. Name fields - Add the first, middle, and last names here. If you are creating a contact for a company, you would still need to nominate a first and last name.
3. Add Phone - If you want to add or update the phone number associated with the contact, you can tap on the existing phone number or the Add Phone option to add a new phone number.
4. Trading terms - Select a trading term for your contact. Learn more about setting up Trading terms.
5. Category & Store location - You can categorize your contact by selecting one of the categories you have created. The location will automatically be assigned, based on the location of the user logged in/creating the contact. Check out the Locations guide to learn how to manage locations.
6. Email Address and CC: emails - This is where you would need to add the email address and a CC email if applicable. The email address that will be indicated in this field is where the quotes, invoices, job sheets, and tests will be sent by default.
7. Tags - Tags can be added to the contact to help you categorize and filter your customer records.
8. Address field - You can enter the address manually or use the Address search feature to automatically fill the fields - this is recommended as it ensures more accurate geolocation data.
9. Contact Notes - You can edit the contact notes here. This will remain internal and are viewable by the tech within the mobile app - useful for noting any customer preferences such as whether they like to be called on approach.
10. Comms preference - You have two options for your communications or 'Comms' preference. We recommend email – it’s quick, traceable and paper-free! But if your contact prefers a hard copy, selecting 'do not send' will allow you to print the invoice out.
11. Contact status toggle - Turn this off if you want to deactivate the customer.
12. Batch invoicing toggle - Toggle this switch if you have an arrangement with the contact that they will be invoiced in batch. Learn More about batch invoicing here: Batch Invoices
13. Linked pools section - You can add a new pool, or select the pool-contact relationship from the drop-down.
14. Update button - Once you have entered the necessary contact details, tap on Update to save the information.
